A better parts list for mixed replacement orders
Keep references, quantities and application details consistent when sourcing several machinery replacement parts together.
Mixed parts requests are easier to review when each line identifies one item clearly. A simple spreadsheet is often enough.
Use one row for each item
Give every item its own reference, description and quantity. Keep alternatives on separate rows and label them as alternatives so they are not mistaken for additional required items.
Separate machine details from part details
Record the equipment model and relevant serial information alongside the part reference. When a list covers several machines, group the rows or add a machine identifier column.
Use consistent quantities and units
Specify whether the requirement is in pieces, sets or another unit. If a set is required, describe what you expect it to contain. Avoid a quantity without a unit.
Mark uncertain information
Flag references that need checking. A visible note such as “reference to confirm” is more useful than presenting uncertain information as final.
Compare quotations line by line
Check the proposed reference, included scope, quantity and any availability notes. Highlight substitutions or unconfirmed items before proceeding.
